IMPORT METER READINGS
DESCRIPTION: Import Meter Readings is used to import readings from an Excel spreadsheet into Pro Fund Accounting.
To access: Click on the Equipment module then click the Import Meter Readings menu item.
The following window will appear:
A sample Excel file layout is shown below. It must have columns for the Equipment Code, the Mileage Meter Reading, the Hours Meter Reading, and the Effective Date. If the Effective Date is not entered into the spreadsheet, then the date entered in the Effective Date of Meter Reads field (of the Import Meter Readings menu item) will be used. When you save your file, be sure to use the "Save As..." option under the Excel file menu. For the file name, type in the name of the file and use an extension of "CSV" (e.g., April06Meters.CSV). If you are going to allow Excel to save the file to its default, you may need to search for it. Typically, the default will be in your Documents and Settings folder. You can save the file to your HMSSQL directory, if you wish.
NOTE: Your equipment numbers do not need to be zero-filled. In other words, you can enter equipment #002 as, simply "2". Make sure you format Cell D to have a "date" format. Format Cells A, B, and C to have a "general" format.
Enter the Effective Date of Meter Reads that will be imported by either typing in the date or by using the Calendar button.
Click the Import button. A File Explorer window will appear. Select the file you are importing data from. Click Open. When the meter readings have been imported, a confirmation window will appear showing how many meter readings were imported and if there were any errors. Click OK to see the Meter Readings Import results window. If there were any errors, you can view them by clicking the Errors List Fuel Import List Option at the bottom of the window. When you are finished reviewing the results, click the OK button.
If the results that you viewed were acceptable, click Yes to post the meter reading entries against the equipment file. If you had errors, it is better to not post the entries. Load your Excel file, correct the error(s), and return to the Import Meter Readings menu item.
Click on the X in the upper right corner of the window to close the window.
