TIN VERIFY
DESCRIPTION: TIN Verify allows you to verify that a vendor's Name and Tax Identification Number (TIN) match IRS records. This helps prevent submission errors when E-filing 1099's with the IRS for these vendors.
To access: Click on the Payables module then click the TIN Verify menu item.

The TIN Verify window contains two Tabs: File Creation, and Read Results. In the File Creation Tab, you can create a file to upload to the IRS to verify a vendor's TIN. In the Read Results Tab, you can upload a response file from the IRS to see whether the TINs and Names of the submitted vendors match the IRS records.
To create the Verification File, first make sure you are in the File Creation Tab. There will be a list of vendors and the TINs you have on file for those vendors. Some vendors may be highlighted in red. This means there is an issue with the TIN on file for that vendor. An error message will be displayed in the Error Message column. You will need to correct these issues before validating that vendor with the IRS. You can sort and filter this list to help you find the vendors you wish to validate.
Select the vendors you wish to validate by clicking in the box to the left of the Code column. Click the box again to deselect a vendor. Once you have selected all the vendors you wish to validate, click the Verification File button. Select where you want the Verification File to be saved, then click Save. A success message window will appear indicating that the Verification File was generated. Click OK. You may now click the IRS TIN Matching Login button to log into the IRS website and submit the Verification File. The IRS will send you a Response File stating whether the Name and TIN combination for each vendor in your Validation File matches IRS records.
To read this file, click on the Read Results Tab. Click the Load Results File button at the top of the window. Select the Response File from the IRS and click Open. A list of each vendor in the file will appear showing whether that vendor was validated. If the IRS was unable to validate the vendor, the row will be highlighted in red and a message indicating the problem will appear in the IRS Result column.
Click on the X in the upper right corner of the window to close the window.
