VENDORS

 

 

 

 

DESCRIPTIONVendors is used to enter all the vendor information required by Pro Fund Accounting.

 

 

 

To access:  Click on the Payables module  then click the Vendors menu item.   

 

The following window will appear:

To enter a new vendor, click the New  button.  Enter a unique Code and the vendor's Name.  Indicate the current Status by using the drop down list.

 

In the General Tab, specify the vendor's mailing Address, Phone Numbers, Website, and Contacts.  You can add multiple Contacts for a single vendor by clicking on the Click here to add a new row button in the Contacts grid.

 

In the Accounting Tab, specify the purchase discounts - Net days, Discount days, Discount percent.  Specify if there is an optional Default account number that is used to post invoices for this vendor by using the drop down list.  Indicate whether the vendor Is paid electronically by checking the box.  Also indicate if there is a Customer number for this vendor or a Default Invoice Description.

 

In the Taxes Tab, enter the Federal tax identification number - EIN for this vendor.  Indicate whether they need to receive a 1099 Miscellaneous form or a 1099 NEC form or None by checking the appropriate box.  Indicate if this Is a business name by checking the Yes box.  Also, check the box if there is a W9 on file and, if so, then enter the W9 Expiration date.

 

In the Purchasing Tab, specify whether the vendor Uses purchase orders by checking the box, and if there is a Blanket purchase order number to use.

 

In the Notes Tab, you can keep track of any information you wish to remember for this vendor.

 

The History Tab will show all activity to this vendor, including a View distribution report.

 

When you are finished, click the Save  button.  A success message window will appear.  Click OK.

 

If you are making changes to an existing vendor, use the Search window to find the vendor and make any changes.  Then click the Save  button.  A Success message window will appear.  Click OK.  If you are making changes to multiple vendors, you can use the Navigation buttons  to move to the next vendor on the Search list.

 

If you need to Delete a particular vendor, then select that vendor in the Search list and click the Delete  button.  If the vendor is currently being used, then Pro Fund Accounting will not let you delete the vendor.  If a vendor is no longer being used, then you can mark the Status of that vendor as Inactive instead of Active.

 

Click on the X in the upper right corner of the window to close the window.
