ZERO FILL EMPLOYEE NUMBERS

 

 

 

 

DESCRIPTION:  Pro Fund Accounting allows employee numbers to contain characters as well as numbers.  Zero Filling Employee Numbers avoids confusion when sorting just numeric employee numbers.  For example, you have set up employee numbers 1, 27, 185 (all different lengths).  When you are trying to locate the employee in Payroll Post, these three numbers will be listed in the following order:  1, 185, 27.  If you have a lot of employees, this can slow down the posting process and make it difficult to locate an employee from a drop down menu.  By running Zero Fill Employee Numbers menu item, you can set the number of digits you want your employee numbers to be, anywhere from 2 to 9 digits.  Using the employee numbers in the above example, if you select four digits, your new employee numbers will be 0001, 0027, 0185.  That is how they will be listed in the drop down menus.  If, at some future date, you decide you want to make your employee numbers longer, then rerun this menu item and increase the number of digits you want the numbers to be.

 

NOTE:  This menu item has the potential to change how Pro Fund Accounting operates.  It is highly recommended that all other users exit Pro Fund Accounting before using this menu item.

 

 

 

To access:  Click on the Payroll module  then click on the Zero Fill Employee Numbers menu item.   

 

The following window will appear:

 

 

Use the drop down list to enter the number of digits you want the numbers to be.  Click the Done button.  A message window will appear:  Zero fill employee numbers now?  This process may take a long time to complete.  Click Yes to make the change or click No to start over.  Please note - this may take awhile depending on how many employees you have.  When the process is finished, a success message window will appear.  Click OK.  Pro Fund Accounting will now need to close.  Click OK.

 

Click the Cancel button or the X in the upper right corner of the window to close the window.
